Privacy Policy

This policy explains what Tap Hydration collects when you use our mobile app and website, why we collect it, who we share it with, and the choices you have. It applies to the Tap Hydration app on iOS and Android and to our booking and store website.

Information we collect

  • Account and contact details. your name, email address, phone number and date of birth, so we can identify you, confirm appointments and contact you about them.
  • Health and treatment information. the intake questions, acknowledgements and signature you provide on a consent form before a treatment, together with the services you book, the provider you see and notes our staff record about your care.
  • Payment information. we do not store your full card number. Cards are entered into a form hosted by our payment processor, which returns a token plus the brand, last four digits and expiry date that we keep so you can recognise a saved card.
  • Purchase and visit history. your bookings, orders, membership status, rewards points, amounts paid and refunds.
  • Device and notification data. if you allow notifications, the push token for that device along with its platform and app version, so a notification can reach the right phone.
  • Usage information. basic analytics about how the app and site are used, such as pages viewed and features opened, collected through our application platform.
  • Communication preferences. whether you have opted in to marketing email and marketing notifications, when you chose that, and how.

How we use your information

  • Providing care and service. scheduling appointments, preparing your treatment, recording consent, fulfilling orders and managing memberships and rewards.
  • Payments. charging for treatments, products and memberships, keeping a card on file where you have asked us to, and issuing refunds.
  • Service messages. appointment confirmations and reminders, changes to a booking, receipts, consent requests and order updates. These are part of the service and are not marketing.
  • Marketing, only with your permission. offers and clinic news by email or notification, where you have opted in.
  • Running and improving the app. keeping it secure, diagnosing faults and understanding which features are used.
  • Legal and record-keeping duties. retaining treatment and financial records for the periods the law requires.

How we share your information

We do not sell your personal information and we do not share it for cross-context behavioural advertising. We share it only with providers who process it on our behalf, under contract, and only for the purposes below:

  • Our application platform. hosts the app, its database and our account sign-in, and provides usage analytics.
  • Our payment processor. handles card entry, payments, saved cards and membership billing. Full card details go to the processor, not to us.
  • Our email provider. delivers confirmations, reminders, receipts and, where you have opted in, marketing email.
  • Our push notification provider. delivers notifications to your device on Apple and Google platforms.

We may also disclose information where the law requires it, to protect the safety of a person, or as part of a sale or reorganisation of the business.

Health information

Some of what we hold is information about your health, including what you tell us on a consent form and what your provider records about a treatment. We treat it as confidential, restrict it to staff who need it to care for you, and do not use it for marketing.

Where we act as a healthcare provider, your health information may also be covered by health privacy laws that give you additional rights, described in any separate notice of privacy practices we provide to you.

Push notifications

Notifications are optional. We ask your permission the first time you open the app, and your device will not send us a push token unless you agree. You can turn notifications off at any time in your device settings, and you can turn off marketing notifications while keeping appointment reminders from the Notifications section of your account.

If you turn notifications off or uninstall the app, we disable the token for that device and stop sending to it.

Your choices and rights

  • Marketing. every marketing email carries an unsubscribe link, and marketing notifications have their own switch in your account. Turning either off does not stop appointment reminders or receipts.
  • Access and correction. you can view and update your profile in the app, and you can ask us for a copy of the information we hold about you.
  • Deletion. you can delete your account yourself in the app, under Account and then Settings. Your login, saved cards, notifications and any membership are removed straight away. We keep treatment and financial records for the periods the law requires, as described above.
  • Additional rights. depending on where you live, you may have further rights over your information. Contact us and we will respond as the law requires.

How long we keep information

We keep your account and visit history for as long as you have an account with us. Treatment records, consent forms and financial records are kept for the longer period that healthcare and tax rules require, after which they are deleted or anonymised.

How we protect information

Access to client records is limited to staff who need it. Card details are handled by our payment processor rather than stored by us, connections to the app are encrypted in transit, and administrative areas require a staff account. No system can promise perfect security, but we work to keep this one current.

Children

The app is intended for adults. We do not knowingly collect information from children under 13. Treatments for a minor are arranged with a parent or guardian directly rather than through the app. If you believe a child has given us information, contact us and we will delete it.

Changes to this policy

If we change how we handle your information we will update this page and the date at the top. Significant changes will be communicated in the app or by email.
